Customer Care Administrator/ Customer Support Specialist: The Customer Care Administrator/Customer Support Specialist will play a crucial role as part of the Customer Care Team in ensuring smooth order processing, efficient communication with customers, and timely delivery of products, ensuring customer satisfaction and addressing any issues that may arise on key accounts. Responsibilities include handling sales orders, coordinating with procurement and manufacturing teams along with logistics of finished goods. Responsibilities: Client Relationship Management: Develop and sustain strong relationships with key clients. Act as the main point of contact between key clients and internal teams. Manage all information flow to/from key customer accounts. Provide updates to clients on order status. Proactively resolve all customer issues, directing as necessary to appropriate resources. Provide general support to clients. Maintain and update sales and customer data. Sales Processing and Reporting: Respond promptly to all customer enquiries in relation to orders placed. Process sales orders received promptly and accurately. Verify data accuracy in orders and invoices. Communicate and coordinate with internal departments on finished goods delivery. Confirm order acknowledgements and lead times to customers. Handle customer complaints via letters, email, or phone. Monitor websites, customer accounts, and trackers. Prepare sales-related reports. Procurement Coordination: Collaborate with procurement teams to place purchase orders. Confirm lead times with Procurement team to ensure timely delivery. Shipping Logistics: Organise shipping logistics for orders. Coordinate with logistics company to ensure timely delivery of orders. Prepare all shipping documentation required for all orders including international shipping (packing list, commercial invoice, bill of lading, certificate of origin, and insurance). Requirements and Skills: 3-5 years proven work experience as a Customer Care Administrator or similar role, ideally within the manufacturing industry. High proficiency in MS Office applications, particularly Excel and Word. Experience using SAP Business One is desirable but not essential. Committed to providing excellent customer care with good knowledge of sales processing and international shipping procedures. Excellent communication skills (written and verbal). Good organizational, problem-solving, and time-management abilities. Strong attention to detail. Ability to work well as part of a team and coordinate with various departments within the company. Willingness to take ownership for resolution of enquiries and issues. Ability to remain calm when dealing with difficult or distressed people.
