This is a 12-month contract with potential extension. The successful candidate will be working 40hrs a week (fully-on site) on the Intel site in Leixlip, Kildare.     The Data Controller is responsible for the effective coordination, control, and administration of all training and compliance documentation across the Training Department. This role ensures that all records, certifications, and materials are accurate, up to date, and aligned with accreditation body requirements and ISO standards. The position plays a key role in maintaining the integrity of the company’s health & safety training operations, supporting audits, ensuring regulatory compliance, and driving continuous improvement in document control processes. Key Responsibilities Document Control & Training Department Administration. Ensure all accreditation course documentation/ materials are up to date and compliant for accreditation bodies. Manage the day to day processing of course documentation and the reporting of course documentation status within the process, ( if it has been sent to stakeholders on time, if it has been returned on time to head office and reported on a daily basis). Review training documentation and records to confirm that all paperwork is completed to required accreditation and internal standards, including company policies, procedures, and ISO requirements. Maintain accurate and up-to-date records within Company systems, such as Zoho CRM, ensuring consistency and traceability of all documentation. Oversee general training administration, including the coordination of course materials, learner records, and certification documentation. Manage and oversee the overall paperwork , including digital course materials for accrediting bodies. Certification & Accreditation Management Ensure programme examinations are assessed and processed through the relevant certification systems in a timely and accurate manner. Coordinate and maintain administration for all awarding bodies and accreditations, examples include QQI, NEBOSH, IOSH, TÜV, CSA, Occupli, Irish heart foundation and PHECC. Ensure all documentation associated with these accreditations is compliant, current, and audit-ready at all times. Be a key contributor and active member to the Training Governance Committee. ISO Compliance & Quality Assurance Ensure all document control processes comply with ISO standards (e.g., ISO 9001 Quality Management and ISO 45001 Occupational Health & Safety Management). Maintain strict version control of all company training programmes and associated documentation to ensure accuracy, consistency, and compliance. Support internal and external audits by ensuring documentation is complete, accessible, and aligned with ISO and accreditation requirements. Monitor adherence to document control procedures and identify any non-conformances, implementing corrective actions where required. Provide regular updates to the business regarding performance issues with corrective actions, and solutions. Operational & Front Desk Oversight Manage and oversee front desk processes, ensuring smooth handling of documentation, learner materials, and administrative workflows. Monitor paperwork and learning material usage in line with forecasted budgets and company reporting. Ensure all administrative and operational processes are consistently followed and maintained to a high standard. Initiate and support process improvement by regularly reviewing company procedures and document control systems. Provide practical recommendations and solutions to enhance efficiency, compliance, and overall service delivery. Key Skills & Experience Experience in document control, training administration, or compliance (preferably within health & safety or a regulated environment).
