YOUR DAY TO DAY LIFE We are looking for a Office Administrator in Athgarvan Road, Newbridge, Co. Kildare, Newbridge W12W951 IRL. Your mission will be to assist in the smooth running of the laboratory. Your role will be a key support service to the laboratory to ensure samples are processed accurately and promptly on the day of receipt and in line with customer requirements. Responsible for the receipt and checking of all allocated samples for testing. Transfer all registered and labelled samples to the relevant laboratory without delay. Use the LIMS to ensure that samples are promptly and accurately registered for the correct suites/tests and with all relevant customer and sample details recorded. Manage the day-to-day implementation of Mérieux NutriSciences’ Quality Management System ensuring compliance with ISO 17025, Irish National Accreditation Board (INAB), Department of Agriculture, Food and the Marine (DAFM), Retailer Supplementary Audit Scheme (RSA) & company requirements. Assist with record keeping and general housekeeping of the sample receipt area. Maintain a quarantine area for samples awaiting registration instructions/clarification. Work closely with laboratory staff to ensure that customer requirements are understood and implemented. Advise management and customer care of any anomalies or issues with samples or testing. Deal with telephone enquiries from customers and take detailed telephone messages. Assist in the investigation into customer complaints or nonconforming work and ensure timely close out of any nonconformances or complaints. Ensure all records are fully, clearly and promptly completed, scanned and/or filed to maintain good traceability in records system. Assist in sample preparation as required; blend, prepare and cook food samples as required while adhering to HACCP guidelines and health and safety regulations. Assist with the provision and development of customer services. Perform all assigned daily checks and report any problems immediately. YOUR PROFILE Minimum of 1 years’ experience within a fast-paced office administrator position. Strong organizational skills and ability to work to tight deadlines. Excellent IT skills; proficiency in using Google Suite or Microsoft Office. Solid communication skills for creating interactive relationships with all teams. Adaptable to work within the sample preparation department, where training will be provided. Positive, “can-do” attitude and a willingness to learn. Customer and employee-focused. YOUR DAY TO DAY LIFE We are looking for a Office Administrator (Part-Time) in Athgarvan Road, Newbridge, Co. Kildare, Newbridge W12W951 IRL. Your mission will be to: Be responsible for managing the administration process of samples collected and received from our customers. This is an excellent opportunity for an enthusiastic individual to join our expanding team. Working hours will be 16 hours per week over three/four days. Flexibility to work additional hours will be required to provide cover in the office during holiday or sickness periods. Provide receipt and feedback to the retailer of samples received against pre-set structures and schedules Logging samples received to LIMS (Laboratory Information Management System) Build and maintain files of ordered folders and reporting structures Population of reports for products received under contract Take photographs and review samples received, upload photographs and attach to reports Arrangement of all samples, pack and courier of samples to subcontract laboratory Receipt of subcontract reports and digitally file to the relevant folder system Maintain sample retention until completion of result Upload results via file link as appropriate Upkeep and maintenance of an orderly office. Recycle waste YOUR PROFILE A minimum of 2 years’ experience as an Office Administrator/Clerical Officer Good competency in Microsoft Office Excellent communication skills with fluency in written and spoken English Highly organised with experience of working within a fast-paced environment Full, clean driving licence with flexibility to travel local for collections of products Ability to prioritise tasks and work to deadlines Excellent attention to detail with a methodical approach to work and tasks Team player with the ability to work on your own initiative Ability to handle sensitive, confidential information Enthusiastic and motivated self-starter WHY JOIN US?
