Role Overview
is launching its first Hybrid Physical Primary Care Clinics in Dublin - a best-in-class blend of in-person primary care supported by our industry-leading digital health platform. We are seeking a highly organised, hands‑on Operations Lead to oversee the end‑to‑end setup, launch, and operational running of our new physical clinic network.
This person will play a critical role in bringing our hybrid model to life. They will coordinate the clinic setup, manage operational readiness, support day‑to‑day site performance, and act as the operational link between practice managers, clinicians, central teams, and senior management.
This is a role for someone who loves variety, thrives in early‑stage environments, and is comfortable being a “jack‑of‑all‑trades” - from analysing costs, to coordinating staff, to ensuring scalability of services as we grow.
Key Responsibilities
1. Clinic Setup & Launch
Lead operational planning and execution for all clinic setup activities (fit‑out, IT, compliance readiness, staff hiring and onboarding).
Coordinate staff, suppliers, and internal stakeholders throughout the build and pre‑opening phase.
Establish operational workflows aligned with clinical governance, regulatory requirements, and Webdoctor’s digital model.
Create and maintain clinic readiness checklists, risk registers, and launch plans.
Support the Practice Managers in preparing the clinics for opening.
2. Day‑to‑Day Operational Management
Visit on‑site regularly to ensure smooth daily operations and adherence to our quality standards (including Health & Safety and infection prevention guidelines).
Monitor clinic utilisation, booking patterns, and patient flow, identifying operational bottlenecks and improvement opportunities.
Collaborate closely with the Practice Managers who will manage staffing, clinical stock, bookings, and other day‑to‑day management tasks.
3. Financial & Performance Oversight
Track and report on key operational KPIs (capacity, throughput, cost‑of‑operations, utilisation rates, cancellations, clinic revenue impacts).
Prepare weekly and monthly performance summaries for the Senior Management Team.
Assist with budget tracking, supplier cost control, and forecasting of clinic resource needs.
Evaluate operational efficiencies and propose improvements linked to cost, performance, or patient experience.
4. Continuous Improvement & Scaling
Identify areas to streamline operational workflows, reduce friction, and elevate the hybrid model experience.
Document and refine SOPs to ensure consistency as we open additional clinics.

Ensure digital‑to‑physical integration is seamless - feedback to engineering/product teams on operational issues that could be improved through digital solutions.
Key Skills & Experience
Essential
Over 3 years’ experience in operations, facilities coordination, project coordination, or general management - ideally in primary care or another healthcare setting.
Strong organisational, logistical, and problem‑solving skills.
Comfortable working hands‑on and independently in a fast‑moving setup environment.
Strong numeracy skills - able to track costs, understand budgets, and interpret operational metrics.
Excellent communication and stakeholder‑management abilities.
Open to regular on‑site presence.
Ability to juggle competing priorities and move between strategic planning and tactical tasks.
Desirable
Experience launching or running a clinical site.
Exposure to healthcare operations or regulated environments.
Project management experience (formal qualification welcome but not required).
Comfort with digital tools (e.g., booking systems, spreadsheets, operational dashboards).

Salary - €65,000-€75,000 per annum DOE
Bonus – €5,000
Annual leave – 25 days
