Purpose of Post: This position is responsible for leading the Hospital Scheduling Team, ensuring that the team delivers the highest standard of customer service and support to patients and healthcare professionals. The post holder is to participate and assist in the provision of providing an effective and efficient administrative support As Team Lead: Full oversight of the Scheduling team and Referrals team in Mater Private Cork. Lead a team administration staff, ensuring they deliver an excellent standard of customer service and support. Oversight of scheduling of all procedures within Mater Private Cork. Works closely with the Customer Service & Business Administration Manager, Team Leads, Nursing Team and Scheduled Care Manager to ensure the efficient running of the team. Oversight of clinics to ensure Mater Private Cork KPIs are being met weekly. Works closely with Theatre Manager & Scheduled Care Manager to ensue lists are booked correctly and to capacity. To serve as a key point of contact for any issues arising within the team related issue. Work with their teams to provide training/upskilling where needed and ensure the team are cross skilled to ensure no impact to service. Work closely with Mater Private Network Teams to ensure policies and procedures are aligned and patients have a positive patient experience when they attend the hospital. Collaborates with administration colleagues to implement and promote best service excellence practices. Oversees the progression of process improvement plans. Supports team members in dealing with complaint handling and where necessary take over the management of that complaint. Identifies and proposes strategies to further develop service excellence and complaints management. Participate in Departmental Meetings as and when required. Work with their colleagues to develop new procedures, processes and guidelines to continually improve service delivery and customer satisfaction. Ensure that all staff members are aware of administrative processes, trained in the use of relevant technology and have a knowledge of the services, facilities and consultants. Monitor and ensure team compliance with hospital policies and procedures. Build and manage relationships with all administration staff to ensure complimentary ways of working. Maintain good knowledge of the Hospitals processes, services, facilities and consultants. Audit data to produce a monthly report which details activity against agreed KPIs for the administration team. Maintain and uphold procedures in relation to patient confidentiality and safe-keeping of patient records. Liaising with referring hospitals in regard to new and ongoing initiatives where required.
