Please note this role requires availability Monday‑Friday between 13:00‑18:30. You may be required to work various shifts between these hours. The Role Assist with daily activities, ensuring a fun, engaging, and nurturing environment for the children. Build positive relationships with children, their families, and fellow staff members. Lead and participate in a variety of planned activities, both indoors and outdoors. Bring enthusiasm and energy to create a dynamic, enjoyable experience for children each day. The Afterschool Fees Administrator Assistant assists in managing the financial operations related to fees, billing, and payments for the afterschool services. This role ensures that invoicing, collections, and financial records are maintained accurately while providing excellent customer service to families. Key Responsibilities Billing and Fee Management Prepare and send out invoices for afterschool program fees to parents/guardians. Monitor and manage fee payments and ensure timely collection. Maintain accurate records of payments, outstanding balances, and late fees. Handle NCS payment related queries. Customer Support Respond to parents' inquiries regarding afterschool program fees, billing issues, or payment options. Assist parents in setting up payment plans or resolving payment-related issues. Provide clear and accurate information on fees, payment deadlines, and available discounts (e.g., sibling discounts or subsidies). Financial Record Keeping Ensure all financial transactions related to the afterschool program are accurately recorded. Maintain accurate and up-to-date records of all application fee transactions. Track and update financial data in the canters' billing system. Assist in reconciling accounts, tracking payments, and identifying discrepancies. Documentation and Compliance Maintain all relevant fee and billing documentation in compliance with organizational policies and relevant regulations. Support the administration team in preparing for audits or other financial reviews. Financial Reports and Summaries Assist in preparing financial summaries and reports for management, outlining fees collected, outstanding balances, and overall financial status. Help in budgeting and projecting future fee requirements based on enrolment and participation rates. Communication with Parents Serve as the point of contact for fee-related issues, addressing any concerns raised by parents promptly and professionally. Notify families about upcoming payments or any changes to the fee structure or billing schedules. General Administrative Support Assist with other administrative tasks as required, such as filing, data entry, and organizing fee-related records. Collaborate with the afterschool program coordinators to ensure seamless administration and financial processes. What's in it for you?
