  • Front of House Coordinator

    About the Role: As a CBRE Front of House Coordinator you will provide administrative tasks to a department or office. This includes greeting visitors, answering calls, setting up meeting rooms, and other duties. This job is part of the Workplace Experience function. They are responsible for providing world‑class customer service to the clients and visitors of a designated building. About you A floor walker, event host and front‑of‑house concierge.   • Facilities Coordinator

    About the Role As a CBRE Facilities Coordinator you will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete. Building Audits Complete daily cleaning checks, log on spreadsheet and liaise with cleaning supervisor. Monitor aircon regularly, action aircon requests and arrange callouts when needed Monitor stationary levels, re stock Stationary rooms, maintain core stationary levels in WPS and place monthly orders. Ad hoc cleaning requirements - cutlery, counters, spillages etc Furniture Check. Daily WPS Storeroom Check. Building Signage Review. Plant & Switch Room checks. Exterior Building Checks i.e. Gen Cage, Bins, AHU containments. Monitor vending machines for issues and arrange call outs when needed. Ensure gym equipment is up to standard and weekly audits complete. Ad hoc Duties Room setups for events. Arrange whiteboards and flipcharts where needed. Arrange bike shed access for partners. Arrange gym access for partners. Arrange lockers for and storage for partners. Order and Fill skip onsite with unused office materials/equipment when required. Monitoring Monitor and log any areas where paint is damaged/peeling and arrange painting. Monitor and change signage to ensure areas/teams etc. always have correct signage. Monitor notice boards and ensure all notices are up to date. Monitor vending machines for issues and arrange call outs when needed Maintenance & Repair Support vendors onsite to ensure maintenance issues are resolved and repaired. Action SI7 requests for repair on office equipment i.e. lockers, doors, flooring etc Investigate and resolve all alarms including fire, intruder and water leak detection. Key Boxes & Location of Keys Ordering Keys PTW Submissions. Order & Delivery Order stationary items for each Block of the building and organize rooms. Order ad hoc items for building, i.e. keys, handles, clocks, boards etc. Organize each delivery as received and supply the building with stationary, cleaning products and refreshments.   • Assistant Facilities Manager

    About the Role: This position is based in Dublin 15 As a CBRE Assistant Facilities Manager, you will be responsible for the day-to-day management of all services for the client building, ensuring that all vendor service levels are maintained and that KPI targets are met. Role Summary: Lead by example and model behaviours that are consistent with CBRE RISE values. Provide an exceptional Workplace Experience to all colleagues and guests visiting Act as the Primary Facilities POC for the building. Ensure a professional / courteous working relationship is maintained with the client and service partners. Ensure that all PPM’s are carried out as scheduled, inline with CBRE procedures and paperwork is filed as required. Ensure that all reactive tickets are logged and managed as per contract SLA’s. Event Management Ownership – Manage event requests and trackers. Take complete ownership of process and ensure that all meeting rooms and event spaces are ready and set up each day as per the booking requirements. Manage event bookings and collaborate with all associated teams including but not limited to CBRE onsite team, meeting organisers, equipment owners (IT/AV team) and catering teams. Have total ownership of floors and the surroundings areas to ensure the best work experience. Manage consumables and asset management. Manage client helpdesk system, ensuring tickets raised and assigned for all activities. Management of all sub‑contracted services and ensure all services provided are resourced and maintained to a high standard and within the client’s guidelines. Including the competent completion of inductions, ATWs, DRAs when required Support the Contract Manager in monitoring services and suppliers and ensure that the required standards are maintained ensuring SLA’s & KPI’s are achieved as well as ensuring the site always remains compliant with current Health & Safety legislation. Support space management requirements for site. Be a Moves and Changes liaison, providing solutions and planning support when required. Complete all E Learning modules on time and with no manager escalation. Gather data for the client and complete CBRE reporting. Ensure all vendors deliver services in line with the contractual obligation and resolve any supplier issues directly with vendors Raise Purchase Orders and process client invoicing Co‑ordinate access of Vendors with assistance from client security team Ensure office equipment is in working order and has sufficient supplies Regular office audits, recording, assigning and closing out all faults Carry out cleaning audits in conjunction with the cleaning Vendor, recording, assigning and closing out all faults Experience Required: Bachelor's Degree preferred with 3-5 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered. Experience in the areas of staffing, selection, training, development, coaching, mentoring, measuring, appraising, and rewarding performance and retention preferred. Excellent communications skills with a strong ability to build and maintain strong client and service partner relationships. Strong customer service ethic Confident oral and written skills. Strong experience in an FM or related services environment and experience in Facilities Management SLA's / KPI's Leadership skills to motivate team impact on quality, efficiency, and effectiveness of the job discipline and department. In‑depth knowledge of Microsoft Office products and Google Suite. Examples include Word, Excel, Outlook, Google Sheets Excellent organisational skills with a strong inquisitive mindset.
